How to Track Player Availability Without 40 Messages a Week
10/7/2026 · 4 min read
Availability is the highest-frequency ritual in amateur sport: every fixture asks the same question of fifteen people. Run it in a chat and you'll do it again for every match, forever. Run it on a board and it mostly runs itself.
Use three states, not yes/no
Available, Tentative, Out — the middle state is the whole trick. Most 'maybe' people aren't being difficult; their week isn't decided. A Tentative state with a confirm-by date converts maybes into real answers on a schedule you control.
Set deadlines the board enforces
The manager's superpower is the deadline, not the reminder. When tentative players commit to confirm by Wednesday, Thursday becomes a planning day instead of an interrogation.
Manage the headcount, not individuals
Your decision is binary: enough or not. Availability counts (in / tentative / out) give you that at a glance — guests are the fallback lever, and they can be added to any match roster without an account.
